This Privacy Policy (“Policy”) governs the manner in which Creative Connections Children’s Center (“Provider,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information relating to the enrollment and care of children (“Enrollees”) and the corresponding information of parents or legal guardians (“Parent/Guardian”). By submitting information to us, whether in written, electronic, or verbal form, you expressly consent to the practices outlined herein.
1. Scope of Information Collected
1.1 Child-Related Data: Includes but is not limited to name, date of birth, medical history, immunization status, dietary restrictions, attendance logs, and behavioral or incident reports.
1.2 Parent/Guardian Data: Includes identification details, contact information, billing details, employment information (where required by subsidy programs), and emergency contacts.
1.3 Operational Data: Records of enrollment applications, communications exchanged, sign-in/sign-out logs, and consent forms.
1.4 Ancillary Data: Photographic, audio, or video materials obtained during participation in program activities, subject to applicable consent requirements.
2. Purposes of Collection & Use
2.1 Data is collected solely for legitimate childcare, administrative, regulatory, and safety purposes, including but not limited to:
Provision of educational and supervisory services;
Compliance with statutory childcare licensing mandates;
Emergency preparedness and response;
Billing, invoicing, and financial administration;
Internal recordkeeping, quality assurance, and staff training.
2.2 Provider reserves the right to use anonymized or aggregated data for internal research, statistical analysis, or program evaluation.
3. Disclosure of Information
3.1 Information may be disclosed under the following circumstances:
To duly authorized Provider staff, solely on a need-to-know basis;
To healthcare providers in exigent circumstances;
To government or licensing authorities pursuant to mandatory reporting obligations;
To third-party service providers (e.g., payment processors, data storage vendors) bound by confidentiality obligations;
As required by court order, subpoena, or applicable law.
3.2 No personal information shall be sold, leased, or otherwise commercially exploited.
4. Data Retention & Security
4.1 Records shall be retained for the duration mandated by state childcare licensing statutes or other applicable legal frameworks. Upon expiration of said period, records shall be destroyed in a manner reasonably calculated to prevent unauthorized access.
4.2 Creative Connections Children’s Center employs commercially reasonable technical, administrative, and physical safeguards to protect data. However, Parent/Guardian acknowledges that no transmission or storage system is wholly immune to breach, intrusion, or misuse.
5. Parental Rights & Access
5.1 Parent/Guardian may, upon written request, review, amend, or obtain copies of their child’s records, subject to reasonable administrative timelines.
5.2 Requests deemed unduly repetitive, burdensome, or disruptive may be declined or subject to processing fees as permitted by law.
5.3 Consent for media, photographs, or recordings may be withdrawn in writing at any time, provided such withdrawal does not retroactively invalidate prior authorized uses.
6. Media & Communications
6.1 Creative Connections Children’s Center may capture photographic or audiovisual content for programmatic, educational, or archival purposes. External dissemination (including but not limited to marketing, social media, or promotional materials) shall require advance written authorization from Parent/Guardian.
6.2 Communications may be transmitted electronically (e.g., SMS, app notifications). Provider is not liable for interception or unauthorized disclosure once such communications are transmitted through third-party networks.
7. Amendments & Modifications
7.1 Creative Connections Children’s Center reserves the unilateral right to amend, revise, or update this Policy at any time to reflect operational, legal, or technological changes.
7.2 The revised Policy shall become effective upon posting or direct distribution to Parent/Guardian, whichever occurs first. Continued enrollment constitutes acceptance of any modifications.
8. Governing Law
This Policy shall be construed and enforced in accordance with the laws of the State of Texas. Any disputes regarding interpretation or enforcement shall be resolved in the courts or arbitral forums of said jurisdiction.
